Put five emails from five colleagues side by side and you often see five different signatures. One has the old logo, another a phone number that is no longer right, the third writes from a phone and only has “Sent from my iPhone”. Nobody does anything wrong: a signature is set per mail program and per device, and nobody keeps track of that.

Why it is so hard

  • Per program, per device. Outlook on the laptop, Apple Mail at home, the Gmail app on the phone: each has its own setting. A new job title or a new logo means everyone has to do it all again.
  • A disclaimer at the bottom of the thread. Exchange can add text centrally with a transport rule, but it goes at the bottom of the message, below the whole quoted conversation. After a few replies the signature ends up somewhere in the middle of a long thread.
  • Services that watch along. Specialised services such as Exclaimer and CodeTwo solve this, but charge per user per month. Many also offer statistics on who opens the email or clicks a banner. That works with tracking pixels and redirecting links in the signature.

How it works at Binadit

The administrator designs the signature once in the portal: a design from the gallery, with your own colour, logo and the lines you want to show. You can also paste your own HTML; it is cleaned, so no scripts, links or tracking pixels remain.

Each employee has their details: name, job title, phone, a photo and, if you like, working days. Employees can change the fields the administrator allows, such as their mobile number or their photo.

The mail server then adds the signature to every outgoing message, whichever program it comes from: Outlook, Apple Mail, the iPhone, the Gmail app, Thunderbird, Northmail or the webmail. In a reply the signature goes above the quoted conversation, where it belongs. Lines such as “Sent from my iPhone” are removed by the server. Employees do not have to set anything up.

A Binadit signature contains no links. Website, email address and phone number are plain text; most mail programs turn them into clickable links on the recipient’s side.

The reason is delivery. Spam filters look at every address in a message, including the addresses of images. Redirects, shortened links and addresses on other domains do not help. The more the addresses in a message belong to the sender, the better. That is why images, such as the logo and a round profile photo, are hosted on the customer’s own domain, at sig.yourdomain.com. Spam filters then see only your domain. Images go out as PNG or JPEG, never as WebP, because not every mail program shows it properly.

Because there are no links and no tracking pixels, we do not know who opens your email. That is the point.

Company registration details

Below every signature you can add a fixed footer, for example with your Chamber of Commerce (KVK) number, VAT number and registered address. It stays there even when an employee uses their own signature. The Dutch Trade Register Act asks registered businesses to state their KVK number on outgoing letters, quotes, invoices and other announcements. Binadit MailSig helps with that: the portal warns you when a company’s KVK number does not appear anywhere in the signature.

Free

Binadit MailSig is included with every Binadit Workspace account. There is no separate subscription and no price per user. What Binadit Workspace costs is on the pricing page, and the comparison with Exchange is under alternative to Microsoft 365.
