Company and privacy

For administrators

Roles in Conserio, what an administrator can do in the app and what the Workspace portal takes care of.

Applies to: macOS, Windows, iPhone, Android

This manual is available in English and Dutch.

Conserio is part of Binadit Workspace. Who in your company has access, and with which role, is arranged in the Workspace portal. The portal passes that on to Conserio. In the app itself you manage channels and messages.

The link between the portal and Conserio is being finished. Until then, Binadit sets these settings for you.

Roles

RoleWhat the role may do
OwnerEverything, including appointing administrators and exporting everything.
AdministratorManage users, channels, retention periods, guests and devices.
MemberCreate channels (if the company allows it) and everything in their own channels.
GuestOnly the channels they were invited to. Does not see the other people of the company.
Channel managerPer channel: name, members of a private channel, archiving. Whoever creates a channel is its channel manager.

In the app

As an administrator or owner you can, in Conserio:

  • Manage every channel as if you were its channel manager: rename, archive and bring back, and in a private channel add people and remove them. See Channels and conversations.
  • Delete other people’s messages, for example something that does not belong there.
  • Turn on Team Drive from the explanation at the paperclip, when your company has no Team Drive yet. That opens the portal. See Files.

Everyone is in the channel #algemeen (general). Nobody can leave or archive that channel, and nobody can be removed from it.

WhatNotes
UsersAdd with name, e-mail address and role. A new user is put in the default channels straight away, so their sidebar is filled at first sign-in.
BlockingBlocking someone closes all their connections within a second. On request, Conserio also wipes the messages on their devices.
Removing from the companyThe messages someone wrote in channels stay, under their name. On request their personal data is removed; their name then becomes Former user.
Creating channelsWhether members may create channels, or only administrators.
Default channelsThe channels everyone is put in. #algemeen is always one of them.
Conserio on or offConserio is on or off per workspace. Off closes every connection of the company; the messages are kept.
Message retentionHow long messages are kept: 6 months (included), or paid 12, 24 or 36 months. See below.
EditingHow long after sending someone may edit a message: always, never or a period.
Mail digestWhether Conserio may send a mail with missed mentions. Everyone can switch it off for themselves.
Team DriveTurning it on makes file sharing possible, see Files.
Retention of received filesHow long files from outside the company stay in your Team Drive. Drive removes them afterwards.
UsageNumber of users, active users in the last 7 and 30 days, channels, messages and storage.
ExportEverything of the company, or everything of one person for a subject access request. The file can be downloaded for seven days. People whose direct messages are in a company export get a message about it by default.

Every change from the portal is recorded in Conserio’s audit log.

Message retention

You choose the retention period per workspace in the binadit portal, under Conserio: 6 months is the default and included, 12, 24 or 36 months cost an amount per month. Conserio deletes everything older than the chosen period for good: on the server, from search and also on the computers and phones of everyone in the company. There is no warning beforehand; the choice has been made.

  • Making it longer applies at once and deletes nothing.
  • Making it shorter asks for confirmation in the portal first, because the messages that are then too old disappear within minutes. You can still make an export before that.
  • A conversation whose oldest messages went this way starts with the quiet line Older messages were deleted under your company’s retention period.
  • A channel can have its own, shorter period; the shortest applies.
